Fixing common email delivery problems

Updated May 21, 2026

Most delivery problems come from missing DNS records, not from the mail server itself.

Outgoing mail goes to spam

You need three DNS records — SPF, DKIM, DMARC. Open cPanel → Email Deliverability; the page shows which are missing and gives you the exact values to add. If your DNS is hosted with us, click Repair and the records are added automatically.

Incoming mail not arriving

  • Check the Spam folder in Webmail first.
  • cPanel → Track Delivery shows the last 24 hours of incoming attempts and why each was accepted or rejected.
  • If your MX record points elsewhere (e.g. Google Workspace), cPanel won't receive the mail — confirm DNS in cPanel → Zone Editor.

"Mailbox full" bounces

cPanel → Email AccountsManage next to the address → raise the quota or delete old mail.

"Relay access denied" when sending

SMTP authentication is missing. In Outlook/phone settings, find the outgoing server section and tick My outgoing server (SMTP) requires authentication.

Still bouncing?

Forward us the full bounce message (with the headers). The bounce explains what went wrong — most of the time it's a typo in an address or a misconfigured forwarder.
